If you've been building FileMaker solutions for more than a few years, you've almost certainly encountered it: the relationship graph that nobody wants to open. It scrolls endlessly in every direction, table occurrences overlap in a tangle of colored lines, and every time you need to troubleshoot a portal or a missing record, you spend twenty minutes just finding where the relevant tables are on the canvas.

This is relationship graph bloat, and it's one of the most insidious forms of technical debt in FileMaker development. Unlike a poorly written script that fails loudly, graph bloat degrades silently. The solution still runs. Records still save. But navigating the codebase becomes painful, new developers get lost, scripts start running in wrong contexts, and eventually someone makes a change that quietly breaks five things they didn't know were connected.

This post covers what graph bloat is, why it happens, what context confusion means in practice, how to diagnose the damage, and how to design your way out of it.

What Is Relationship Graph Bloat?

The FileMaker relationship graph is both the schema layer and the navigation layer for your solution. Every table occurrence (TO) on the graph is a window into a table, a named context through which you access records, run calculations, and drive portals. The graph isn't merely documentation of your data model. It is the data model as FileMaker executes it.

Bloat occurs when the graph accumulates table occurrences beyond what the solution's logical data model requires, without a deliberate organizing strategy. A bloated graph typically shows:

  • Duplicate TOs for the same table, created by different developers (or the same developer at different times) to solve isolated problems rather than reusing shared contexts.
  • Unnamed or poorly named TOs such as Invoices 2, Invoices 3, Customers copy, or cryptic abbreviations that don't communicate purpose.
  • TOs added to solve one-off problems, like a portal that needed a specific sort order, or a filtered relationship that was easier to create as a new occurrence than to parameterize.
  • Dead TOs that were created, used temporarily, and never deleted. They still appear on the graph, still complicate navigation, and may still have active (but now irrelevant) relationship lines.
  • No spatial organization, with TOs placed wherever FileMaker drops them by default, with no grouping by function, module, or methodology.

In extreme cases, I've seen a bloated graph in a mature enterprise solution with 300, 400, or even 500+ table occurrences for a data model that has perhaps 40 to 60 base tables. The ratio of TOs to base tables becomes a rough indicator of graph health. In a well-structured solution using anchor-buoy methodology, you'd typically expect somewhere in the range of 3 to 8 TOs per base table. When that ratio climbs to 10:1 or 15:1, you almost certainly have bloat.

Why Does Graph Bloat Happen?

Understanding the cause is the first step to preventing it. Graph bloat rarely happens intentionally. It accumulates through a series of individually reasonable-seeming decisions.

The path of least resistance. FileMaker makes it easy to add a new TO. You right-click, pick the table, and drag a relationship. It takes thirty seconds. This friction-free process means developers default to creating new occurrences rather than evaluating whether an existing one serves the purpose. The question that should precede every new TO, "Is there already a context I can reuse?", is easy to skip when you're in the middle of building a feature.

Multiple developers without a graph standard. When two developers work on the same solution without an agreed graph methodology, they inevitably create parallel structures. Developer A builds the Invoices module around INVOICES as the anchor. Developer B didn't know this convention and built the Payments module anchored from INVOICES_2. Both work. Neither is wrong individually. Together, they create redundancy that confuses every subsequent developer, including the original two, six months later.

Relationship variations that felt easier to create than to parameterize. Sometimes a developer needs a relationship that's almost like an existing one, but filtered differently. Say, open invoices only instead of all invoices. The clean solution might be a portal filter or a parameterized relationship using a global field. The quick solution is a new TO with the filter baked into the relationship predicate. Multiply this by a few years of feature development, and you have a dozen variations of the same base table serving slightly different purposes.

No cleanup culture. Technical debt accumulates because cleanup doesn't feel urgent. The dead TOs from that abandoned feature nobody finished? They're not hurting anything today. The three duplicate Customers occurrences that could be consolidated? The solution works fine. There's always a new feature to build, and graph grooming doesn't show up in a client demo.

Fear of breaking things. In a mature solution, developers become reluctant to consolidate or remove TOs because they don't know what depends on them. A calculation field might reference CUSTOMERS_OLD::Email. A script might navigate to a layout whose context is INVOICES_3. Deleting a TO triggers a cascading list of broken references that feels worse than leaving the graph as-is. This fear is rational, but it's also a symptom of the underlying problem. A well-documented, well-organized graph is one you can refactor with confidence.

What Is Context Confusion?

Context is the most fundamental concept in FileMaker execution, and it's the one most developers understand least until it bites them.

In FileMaker, context is the current table occurrence through which the system is viewing data. It determines:

  • Which record is "current" and accessible to Get(RecordID), field references, and GetNthRecord()
  • Which table a script is operating against when it runs Go to Related Record, Find, or Commit Records
  • Which portal rows are visible and which relationship is being traversed
  • Which calculation context a field is evaluated in, affecting unstored calculations that reference related fields
  • How global fields resolve. Globals are table-specific: CUSTOMERS::gFilter and CUSTOMERS_2::gFilter are different fields even if they look identical

Context confusion happens when scripts, calculations, or portals run against the wrong context, usually a different TO than the developer intended. The result is unpredictable: missing records, empty portals, silent calculation failures, or data written to the wrong related record.

Let me walk through some real-world scenarios where this plays out.

The wrong portal source. A developer builds a portal on the Invoices detail layout. The layout's table occurrence is INVOICES. The portal is supposed to show line items. There are two TOs for the line items table: LINE_ITEMS (connected from INVOICES) and LINE_ITEMS_2 (connected from INVOICES_REPORT, used in the reporting module). In a moment of confusion, the developer drags the portal from LINE_ITEMS_2 instead of LINE_ITEMS. The portal appears empty. The developer refreshes, checks relationships, re-examines the data. Everything looks right from the base table level. The bug is invisible until someone examines the portal's source TO.

A script that navigates to the wrong layout context. A utility script, "Find Open Invoices," performs a constrained find against INVOICES and then does Go to Layout [Invoices List]. The script works correctly when launched from the Invoices module. But another developer calls the same script from the Reporting module, where the current layout is based on INVOICES_REPORT. The Go to Layout step switches context, but a field reference in the script's error handler resolves against the caller's context, INVOICES_REPORT, not INVOICES. The error handler silently fails to capture the right record ID. This class of bug is particularly difficult to reproduce and isolate.

Global field cross-contamination. A developer uses a global field CUSTOMERS::gSearchTerm to drive a live search. Later, another developer adds a feature that also needs a global for customer search, but they're working in a different area of the graph anchored from CUSTOMERS_PORTAL. They create CUSTOMERS_PORTAL::gSearchTerm. Now there are two separate global fields that appear to serve the same purpose. A script that sets CUSTOMERS::gSearchTerm does not update CUSTOMERS_PORTAL::gSearchTerm. A portal or calculation based on CUSTOMERS_PORTAL sees a stale or empty value. The developer debugging this checks the global field. It has a value. But they're looking at the wrong global.

Go to Related Record in the wrong context. Go to Related Record is perhaps the most context-sensitive script step in FileMaker. Its behavior depends entirely on which TO the script is currently running against. In a bloated graph with multiple routes between two tables, GTRR can traverse unexpected relationship paths, open the wrong layout, or bring up a found set that doesn't reflect the user's intent. The developer tests GTRR from one layout, and it works. A colleague calls the same script from a different layout where the context is resolved through a different TO chain. Now GTRR travels a different path and returns different, or no, results.

Diagnosing Graph Bloat and Context Confusion

Before you can fix the graph, you need to understand the scope of the problem. Here's a systematic diagnostic approach that I've found works well.

Count your TOs vs. base tables. Open the Manage Database dialog and count your base tables. Then count the TOs in the relationship graph. Calculate the ratio. As a rough benchmark: a ratio of 3:1 to 6:1 is likely well-organized. A ratio of 6:1 to 10:1 is worth reviewing and may have intentional duplication. A ratio of 10:1 to 15:1 suggests significant bloat where consolidation is warranted. And anything above 15:1 indicates severe bloat where refactoring is urgent. These are rough heuristics, not hard rules. A solution with a deliberate virtual list technique or complex reporting module may justify a higher ratio. But the ratio prompts the right questions.

Identify duplicate base table occurrences. In the relationship graph, visually scan for TOs that reference the same base table. FileMaker uses color coding by base table by default, so all occurrences of the same table share a color. Look for clusters of the same color that aren't spatially grouped. Each cluster is a candidate for consolidation. Better yet, use the Database Design Report (DDR). Export it and parse the XML to produce a list of all TOs grouped by base table. This gives you an accurate count without visual inspection errors.

Audit named contexts in layouts. Every layout has a table occurrence context. Document which TO each layout uses. Look for multiple layouts using different TOs for the same base table without a clear reason, layouts using TOs that aren't the primary "anchor" occurrence for that table, and layouts whose context is a TO that appears to be a legacy duplicate.

Trace script context dependencies. For key scripts, especially navigation scripts, find scripts, and any script that uses Go to Related Record, trace what context they assume. Ask: what TO must be current when this script runs? Is that context always guaranteed by the caller? Scripts that assume a specific context without validating it are fragile.

Check for dead TOs. A dead TO is one with no relationships and no layouts based on it and no scripts or calculations referencing it. Finding dead TOs manually is painful. The DDR is again your best tool. Parse it for TOs with no references in layouts, scripts, or calculations. These are safe deletion candidates, but verify carefully before deleting.

Review calculation fields for context assumptions. Unstored calculations that reference related fields are particularly vulnerable to context confusion. A calculation in INVOICES::TotalDue that traverses LINE_ITEMS will return different values depending on which TO the calculation is stored in if there are multiple routes to LINE_ITEMS. Verify that each calculation field's context is the intended one.

Graph Organization Methodologies

The best protection against bloat is adopting and enforcing a deliberate graph methodology from the start. The two most established methodologies in the FileMaker community are Anchor-Buoy and Selector-Connector. Both are sound approaches. The right choice depends on your solution's complexity and team size.

Anchor-Buoy organizes the graph around functional modules. Each module has one anchor, the primary table occurrence for that module, and a set of buoys radiating outward from the anchor. Buoys are TOs related to the anchor for specific purposes: portals, lookups, sub-summaries. The key rules are that buoys never connect to other buoys (all connections go through the anchor), the anchor TO name matches the base table name or uses a clear naming convention, each module occupies a distinct spatial region of the graph, and navigation between modules goes through layouts, not cross-module relationships.

I've found anchor-buoy to be very readable. Each module is self-contained, and it's easy to understand which TOs belong to which feature. The tradeoff is that it can result in many TOs for complex solutions, and cross-module relationships require a new anchor or a utility TO group.

A typical naming convention looks like this:

  • Anchor: INVOICES
  • Buoys: INVOICES__Customers, INVOICES__LineItems, INVOICES__Payments, INVOICES__Notes

The double-underscore separator visually groups buoys with their anchor when sorted alphabetically.

Selector-Connector separates TOs by role. Selector TOs hold global fields and drive finds, filters, and navigation. Connector TOs provide direct relationships between tables for data access. This creates a clear separation of concerns between "setting up a context" (selector) and "reading data" (connector). It tends to reduce the total number of TOs by treating globals and navigation as a distinct concern, which makes it more suitable for complex, highly interconnected data models. The disadvantage is a higher learning curve and a more abstract concept for developers who aren't familiar with it.

Hybrid approaches are common in practice. Many mature solutions use anchor-buoy for the main modules, with a dedicated global/utility TO group for settings, preferences, and navigation globals. The key is consistency. Whatever you choose, document it, enforce it in code review, and train every developer who touches the solution.

Naming Conventions That Prevent Bloat

Poor naming is both a symptom and a cause of graph bloat. When TOs have unclear names, developers create new ones rather than risk using the wrong one. A strong naming convention eliminates ambiguity.

I'd recommend a TO naming pattern like this:

[MODULE_PREFIX]__[RELATED_TABLE]

For example:

  • INV__LineItems for the line items buoy in the Invoices module
  • INV__Customers for the customers buoy in the Invoices module
  • RPT__Invoices for the invoices anchor in the Reports module
  • UTIL__Prefs for the preferences table in the utility group

The module prefix immediately tells you which context group the TO belongs to. The related table name tells you what data it accesses. There's no ambiguity between INV__Customers and RPT__Customers. They serve different modules, and both are correct.

On the other hand, you'll want to avoid these naming patterns:

  • Table 1, Customers 2, Invoices copy: generated names that communicate nothing
  • cust, inv, li: abbreviations without a standard key
  • CustomersByCityFiltered: over-specific names suggesting the TO was created for one feature
  • OLD_Customers, DEPRECATED_LineItems: dead TOs that haven't been cleaned up (delete them instead of renaming them)

Refactoring a Bloated Graph: A Practical Approach

Refactoring a live production graph is high-risk work. The wrong move deletes a TO that's referenced in a calculation field deep in a portal somewhere, and you have broken production data access. Here's a methodology for doing it safely.

Phase 1: Document before you touch anything. Export the DDR. This is your safety net and your map. Before changing any TO name or deleting any occurrence, you must know what references it. The DDR XML lists every layout, script step, and calculation that references each TO. Parse it or use a tool like BaseElements to navigate it. Create a spreadsheet with columns for TO name, base table, count of layout references, count of script references, count of calculation references, and notes (keep, consolidate into X, or delete). This gives you a clear picture of what's safe to touch.

Phase 2: Establish the target architecture. Before moving anything, design the target graph. Decide which TOs survive, which get consolidated, and what the naming convention will be. Define your module groups. Draw it on paper or in a diagram tool if necessary. You need a destination before you start moving things.

Phase 3: Handle dead TOs first. Start with the safest change: deleting TOs with zero references. The DDR has already identified these. Confirm each one in the graph (no relationships, no layout context, zero DDR references), then delete. This reduces noise immediately and gives you confidence in your process.

Phase 4: Consolidate duplicate TOs carefully. For each group of duplicate TOs (multiple TOs for the same base table serving the same purpose), designate one as the survivor and identify all the others for consolidation. The process:

  1. Pick the TO you'll keep and rename it according to your new convention.
  2. For each TO you're eliminating, use the DDR to find every reference.
  3. Update each reference to point to the surviving TO: layouts (change the layout's table occurrence context if needed), portals (update the portal's source TO), scripts (update Go to Related Record steps, field references), and calculations (update field references in calculation definitions).
  4. Verify the surviving TO has all the relationships the eliminated TO had.
  5. Delete the eliminated TO.

Do this one consolidation at a time. Test after each one. Don't batch multiple consolidations in a single session.

Phase 5: Reorganize the graph spatially. Once the TOs are right-sized and properly named, organize them on the canvas. Group TOs by module with clear visual separation between groups. Use FileMaker's color coding by base table to your advantage. Place anchor TOs on the left of each module group. Route relationship lines to minimize crossings. Add notes or group labels using the graph's note feature if available. A well-organized graph is one a new developer can navigate in under five minutes. That's the bar.

Phase 6: Document the methodology. Write it down. A wiki page, an internal standards document, whatever your team will actually read and reference. Document which methodology you use (anchor-buoy, selector-connector, or hybrid), the naming convention with examples, which module groups exist and what TOs belong to each, the process for adding new TOs (who decides, what review is required), and the rule about not creating new TOs without checking for reusable ones.

Preventing Recurrence

Fixing graph bloat once is only valuable if you prevent it from recurring. The cultural and process changes matter as much as the technical fix.

Establish a TO creation review process. Before any developer adds a new TO to a shared solution, they should verify there isn't already an appropriate occurrence. In team environments, make this a code review checkpoint.

Enforce naming conventions in onboarding. Every developer who joins the project should read the graph standards document before they write a single line of script. A poorly named TO created in week one can persist for years.

Schedule quarterly graph reviews. Block time to audit the graph: look for new duplicate TOs, check for dead occurrences from completed features, verify naming consistency. Fifteen minutes of maintenance every quarter prevents years of accumulation.

Treat the graph as code. The relationship graph is not a diagram. It is executable architecture. Changes to it should be tracked in your change log, reviewed, and tested the same way script changes are.

When to Call It a Full Rebuild

Sometimes the bloat is so severe, and the solution's architecture so far from salvageable through incremental refactoring, that a full rebuild is the right answer. Signs that you're past the point of incremental repair:

  • The base table structure is itself wrong (normalization issues, missing junction tables, incorrect data types). Graph cleanup can't fix schema problems.
  • The graph methodology is so inconsistent that consolidating TOs creates new confusion rather than less.
  • No documentation exists and no remaining developer understands the original intent of the architecture.
  • Every refactoring attempt uncovers a new layer of undocumented dependencies.

A full rebuild is expensive and disruptive. But maintaining a solution built on a structurally unsound graph is a perpetual tax. At some point, the ongoing maintenance cost exceeds the rebuild cost. When it does, build it right from scratch, with methodology, naming conventions, and documentation established on day one.

The solution is a deliberate graph methodology, whether that's anchor-buoy, selector-connector, or a documented hybrid, combined with consistent naming conventions, a TO creation discipline, and periodic maintenance. Applied to a new solution, it prevents bloat from occurring. Applied to an existing bloated solution, it provides the framework for a safe, incremental refactoring path.

The relationship graph is not decoration. It is the architecture. Treat it accordingly.
